Visitor management at gated societies: a practical guide

Residents want security; they also want guests and deliveries to enter without twenty phone calls to the gate. The best visitor policies balance verification, speed, and a clear audit trail.

Pre-approve expected guests

Residents should be able to register visitors from the mobile app with name, vehicle, and time window. Guards see the approval on their device and scan a QR or verify OTP at entry — no shouting across the gate intercom.

Separate workflows for deliveries

Delivery personnel move fast. A dedicated delivery log with company name, flat number, and time in/out keeps couriers flowing while still recording who entered the premises.

Walk-in visitors: verify before entry

For unannounced guests, guards call the resident or use the app’s approval flow. “Hold” and “Deny” states should be explicit so security staff are not pressured to guess.

Record exit, not just entry
